To arrange an air ambulance transfer we need medical and logistical information about the patient and the people contacting us. The categories we collect include:

Patient details: name, age, weight, current hospital, diagnosis, current condition, treating physician, required medical equipment and a contact for the receiving hospital.
Contact details: name, phone number, email, WhatsApp number and relationship to the patient for the family member or case manager who first reaches us.
Case communication: medical reports, discharge summaries, fit-to-fly certificates and any other documents you choose to share with our coordination team.
Payment and billing information: invoicing party, payment method, and the records we are required to keep for financial compliance.
Website analytics: anonymised IP, device type, pages visited and referring source, used only to understand how the site is used and to improve it.

To deliver a transfer we share the minimum information required with: the air operator and flight medical crew, the receiving hospital in Bangkok, ground ambulance partners at both ends, immigration and customs authorities in Bangladesh and Thailand, and our auditors or legal advisers where required. All third parties are bound by confidentiality and operate only under our instructions.

How Do We Store and Protect Your Data?

Patient records, contact information and case notes are stored on encrypted systems with strict access controls. Only the coordination team members directly involved in your case can see your information. Paper records are kept in locked storage at our Dhaka office and are digitised and archived within seven days of creation.

7. Retention

How Long Do We Keep Your Data?

We retain case records for at least seven years to satisfy medical record and aviation audit requirements. After that period, records are securely destroyed unless we have a legal reason to retain them longer. You may request earlier deletion of records that are not subject to a retention obligation.
